Role Objective
Our client, a well-established mid-tier law firm, is seeking a highly organized, dependable, and detail-oriented Legal Administrative Assistant to provide comprehensive administrative and operational support within a busy legal environment. The role is central to ensuring efficient workflow coordination, smooth office operations, and effective support to legal professionals.
Core Duties and Responsibilities
- Coordinate daily administrative and operational activities to support seamless office functioning
- Manage incoming and outgoing communications including emails, phone calls, and official correspondence
- Maintain structured filing systems, records, registers, and archives for easy access and retrieval
- Handle document processing including scanning, filing, archiving, and proper record keeping
- Support preparation, tracking, and processing of invoices, documents, and office records
- Draft, type, and format legal and administrative documents as required
- Manage diaries, schedules, appointments, and meeting coordination for partners and staff
- Prepare meeting notes, summaries, and reports as needed
- Support front office operations and professionally handle client and visitor interactions
- Facilitate internal communication between legal teams and support staff for timely follow-up
- Maintain legal library registers and office reference materials in an organized manner
- Assist in petty cash management and monitoring of routine office expenditures
- Ensure timely processing of statutory payments, utilities, and subscriptions
- Liaise with external stakeholders including clients, suppliers, and regulatory bodies
- Oversee procurement and inventory of office supplies
- Coordinate travel arrangements including bookings and accommodation logistics
- Support planning and coordination of internal meetings and office activities
- Address office maintenance issues to ensure smooth daily operations
- Perform any other administrative duties as assigned
Job Specifications and Qualifications
- Diploma in Law, Business Administration, Communication, or a related discipline
- Minimum of 2 years’ relevant experience in a similar role
- Proficiency in Microsoft Office applications
