Events Planner Vacancy

In essence it focuses in Recruitment, Business & Marketing Strategy and Training Programs for various sectors. We partner with clients in various industries and sectors in order to meet their various needs.

Role Objective

Our client in the hospitality industry is seeking a motivated and innovative Events planner to strengthen their events function. This role exists to enhance the organization’s reputation for excellence, drive engagement, and support the overall growth of the events department.

Core Duties and Responsibilities

  • Assist in the planning, coordination, and delivery of events before, during, and after implementation, ensuring all logistical requirements are met.
  • Provide hands-on support during event set-up, execution, and breakdown in line with organizational standards.
  • Support the events team in liaising with clients to understand event objectives, preferences, and basic budget considerations.
  • Assist in coordinating with event vendors, suppliers, subcontractors, and service providers as directed.
  • Help prepare event contracts, documentation, schedules, and checklists under supervision.
  • Support sourcing of venues, décor, equipment, and service providers for various types of events including individual, corporate, virtual, and hybrid events.
  • Assist in developing simple event concepts, themes, and layouts in line with client requirements.
  • Help prepare and organize event programmers, attendee materials, and promotional items.
  • Support communication activities related to events, including invitations, confirmations, and follow-ups.
  • Assist with promotional and marketing efforts for events, including social media support and basic publicity activities.
  • Help track event expenses and maintain basic budget records as guided by the events team.
  • Assist in coordinating transport, accommodation, and logistics for event staff, guests, or suppliers when required.
  • Support the management of event timelines to ensure tasks are completed as scheduled.
  • Assist in addressing on-the-day event issues and escalate challenges to the supervisor when necessary.
  • Participate in post-event activities, including feedback collection, reporting, and evaluations.
  • Maintain organized records of event files, supplier contacts, and reports.
  • Support the events team in identifying opportunities to improve event delivery and guest experience.
  • Carry out any other duties assigned from time to time to support the smooth running of events.

Job Specifications and Qualifications

  • Diploma in Hospitality, Business Management, Tourism, Communication, or a related field.
  • At least one (2) years of experience in events, hospitality, customer service, or a similar support role.
  • Basic understanding of event planning and coordination.
  • Willingness to work flexible hours and travel when required
